Sage Intacct uses embedded, assisted AI technologies that act as an AI Advisor to recognize insights and synthesize data. These AI features don't replace users. Rather, they help them, operating with human oversight to empower teams with decision-support tools.
Sage Intacct is the leading accounting and financial management software for nonprofits. As AI becomes more integrated into it, nonprofit CFOs need to understand how these features can help strengthen their teams, enabling them to work more quickly, intelligently, and thoughtfully while remaining human-first.
Distinguishing between AI hype and practical AI functionality
Much has been said and written about the promise of AI. Much of it is hype. Some of it is reality. Let's look at the truth as it stands today within the accounting software for nonprofits, particularly for Sage Intacct, the leader in this area.
Sage Intacct uses embedded, assisted AI technologies, which act as an AI Advisor to recognize insights and synthesize data, designed to naturally integrate into workflows. These AI features don't replace users. Rather, they help them. The technology operates with human oversight to empower teams by providing decision-support tools.
When looking at AI's practical functions, it's necessary to understand where AI can add genuine value.
Ultimately, AI should be used to strengthen financial processes and inform people-led decisions, rather than chasing it as a way to reduce your head count costs. In fact, while it may seem like a good idea in the short term, you're setting yourself up for lots of long-term pain if you think about AI as simply a way to reduce staffing needs.
Positioning AI as a workforce development tool and a competitive advantage
The accounting industry will face a workforce pipeline problem if AI usage continues to be used to cut entry-level accounting roles. Junior staff rely on the foundational work of entry-level roles to build their experience and analysis skills.
In fact, the talent shortage is already present. The U.S. Bureau of Labor Statistics projects about 115,300 openings for accountants and auditors each year through 2035, with many expected to come from the need to replace workers who leave the field, including to retire (BLS Occupational Outlook Handbook). What's more, in recent years, fewer accounting degrees are being completed: the AICPA's 2025 Trends Report counted 55,152 accounting degrees in 2023-24, a 6.6% decline. That means that a shift in talent development is needed.
To start, you need to look at nonprofits' compassion as a competitive strength. After all, you do not have the same amount of dollars to throw at new talent and bring them over. But what you do have that for-profit corporations do not have, is a human- and mission-centered approach. People in nonprofits care about people. Showing that human compassion to team members is much more impactful than just the dollars. I can attest to it based on my background as a former front-desk employee of an accounting firm.
And then, to attract talent to nonprofits, you can make AI integration a strategic hiring advantage by positioning it as a staff investment that improves work processes and reduces stress. It can also increase employee development by reducing time spent on manual data entry and creating opportunities for higher-level work.
Applying the general ledger outlier detection and bank transaction matching features
Sage Intacct has two AI-assisted features that empower teams to maintain stronger internal controls and accelerate reconciliations: 1) General ledger outlier detection feature and 2) Bank transaction matching feature.
First, the general ledger outlier detection feature flags journal entries that don't match previous patterns or standards. It's best used for focused review during the journal entry approval cycle, rather than autocorrection, allowing your team members to focus on outliers, exceptions, and transactions that require human judgment.
To use this feature, you must start with at least two months minimum of live data, but I suggest you begin with even more data, as the intelligence will improve with a larger set of standardized transactions.
You should not, however, use converted historical data as the two-month or more baseline, as it can differ from the live Sage Intacct data patterns and will then flag everything as an outlier.
Second, the bank transaction matching feature within Sage Intacct uses AI-assisted rule-based automation to match bank transactions as they enter your accounting system. You can set:
- Match Rules: Matches a bank transaction to an existing Sage Intacct transaction based on amount, document number, and posting date.
- Create Rules: Informs the system to create a transaction automatically for any recurring items and post it to the correct account.
This feature greatly improves visibility with updated bank matching and balances, efficient bank reconciliations identifying any abnormal or non-matched transactions, and quicker closing times each month.
In other words, this feature enhances accuracy by enabling employees to spend more time reviewing discrepancies and less time clearing consistent transactions.
One caution: Don't apply these rules to an account with unresolved reconciliation problems or inconsistent workflows. Doing so will prompt Sage Intacct's AI to begin matching across the disorganized dataset, creating further problems.
And remember, to guarantee an effective starting point, organizations should complete their first bank reconciliation before turning on either of the rules.
Finally, it's important to remember that these features aren't autonomous replacements. Rather, they require human oversight and judgment. After all, you can have AI do the work, but I would always want to have a human set of eyes involved making the decisions.
Effectively implementing accounts payable automation
Sage Intacct's accounts payable (AP) automation feature harnesses AI for invoice capture and data extraction, suggesting your general ledger dimensions (location, department, grant, class) based on historical data.
This creates an opportunity for your junior staff to shift their responsibilities from data entry to reviewing and validating data.
What's more, organizations can save time and money, and maintain high accuracy, when they implement AP automation. This AI feature matches across vendors, dates, amounts, and line items, and matches uploaded bills to source purchase orders (POs). Sage reports that AI-powered data extraction and duplicate flagging can speed up invoice processing by up to 80% (Sage Intacct AI-Powered AP Automation).
The system proactively flags discrepancies in price or quantity between vendor invoices and the PO.
In other words, the resulting timely AP liability and vendor aging reports enhance your visibility and give you greater control over cash. When AP automation can take on high-volume tasks, your staff can focus more on mission-forward work and less on data entry.
When using this feature, you should assign a default expense account on each vendor record, which then becomes a guide for the AI to create a bill and acts as a fallback if the model can't determine the correct amount.
Finally, clean and consistent data across general ledger coding and vendors is a must. Having any duplicate vendors can significantly reduce the quality of your AI matching.
Streamlining month-end close processes
There are many ways Sage Intacct can also help you streamline and speed up your processes for your month-end close.
First, Sage Intacct's CoPilot offers help and support through the quick answers, guided learning, and troubleshooting tools. Keep in mind that these support tools are best used for fast field-level questions, rather than deep strategy discussions.
And keep in mind that their help and support articles use Sage terminology and standardized best practices. If you have a custom workflow or use customized terminology, their AI system will not know those nuances. For this reason, always fact-check AI content for inaccuracies and standardized terminology.
One Sage Intacct CoPilot feature which I find helpful is Close Assistant, which tracks your tasks, offers reminders, and provides close visibility for teams. It's a dynamic, automated system that allows teams to have stress-free closes at the end of the month.
Close Assistant's customizable monthly, quarterly, and annual templates replace Excel sheets and informal lists to better support organizational processes. And a checklist for each month is retained with a record of who completed which task, start date, and completion date.
Next, Close Workspace provides a centralized hub within CoPilot that brings further structure, automation, and clarity to the close process. Like Close Assistant, it includes dynamic tools such as interactive checklists and templates, a Close Progress monitor, automated subledger reconciliations, and automated notifications.
Combined, Sage Intacct's Close Assistant and Close Workspace help create a faster and more reliable close period for nonprofits.
By centralizing task tracking, automating reminders, and providing real-time visibility, teams can work quickly and proactively. Their focus can shift from doing mostly manual work to more time analyzing data and thinking strategically. Nonprofit organizations could also experience greater standardization and audit readiness through these interactive and dynamic systems.
(One caveat: It should be noted that the Close Assistant feature is currently an additional cost. If you're interested in it, reach out to us at JMT Consulting to discuss pricing and implementation strategies.)
Getting started on your path to leveraging AI
As you can see, nonprofits should view AI as an investment in their organizational accuracy and in their staff satisfaction. AI is simply a tool to be wielded by people and supported by processes that teams put in place. But it is not a tool to simply replace workers.
Just think. When organizations implement AI in their mission-driven, people-first approach, they can see higher-level work become more available to their staff.
But it's important to rely on reputable software when incorporating AI into your organization. Our partners such as Sage Intacct and others have vetted and trusted AI features that can provide a noticeable difference in their nonprofits.

Frequently asked questions
Does Sage Intacct's AI replace accounting staff?
No. Sage Intacct uses embedded, assisted AI that acts as a decision-support tool. Every feature (outlier detection, bank matching, AP automation, close tracking) surfaces information for a person to review. It does not make the final call.
How much data do I need before turning on general ledger outlier detection?
At least two months of live Sage Intacct data, though more is better. Do not use converted historical data as your baseline. Its patterns differ from live data and the system will flag nearly everything as an outlier.
How much faster is invoice processing with Sage Intacct's AP automation?
Sage reports that AI-powered data extraction and duplicate flagging can speed up invoice processing by up to 80%. Sage also says its AI learns from every invoice and adapts to each account over time. Clean vendor records and consistent general ledger coding improve results.
How can I mitigate the risks that typically arise from AI adoption?
By strategically and intentionally implementing AI systems into your nonprofit. Some, such as environmental impact and fluctuating costs, are outside of your control in minimizing AI adoption risk. But ensuring accuracy, staff trust, and proper staff development is fully within your control.
Is Close Assistant included with Sage Intacct?
Close Assistant is currently an additional cost. Reach out to JMT Consulting to discuss pricing and implementation.
